Office Manager

Overview

The Maryland State Golf Association (MSGA) is seeking a versatile and detail-oriented Office Manager to join our team. This role combines financial oversight with operational support, ensuring accurate financial transactions and efficient course rating coordination. The Office Manager will serve as a central point of contact for phone calls and emails while also managing all aspects of course rating scheduling. This position offers a unique opportunity to contribute to the seamless functioning of our organization across multiple fronts.

Experience Required

  • Bachelor’s degree in accounting or related field preferred
  • 3 or more years’ experience in Accounting/Bookkeeping preferred
  • Proficient in QuickBooks, Microsoft Office Tools
  • Strict attention to detail and excellent problem-solver
  • Strong professional communication skills, including both verbal and written
  • Must have excellent interpersonal and customer service skills
  • Well-organized and thorough, with the ability to multi-task
  • Strong self-starter with the ability to help a team be successful

Essential Responsibilities

 

Finance & Operations

  • Manage the Association’s day-to-day accounting functions
  • Prepare timely financial statements for all Board Meetings
  • Assist the Executive Director in creating annual budgets
  • Reconcile all tournament income/expense items in the TMS System to match QuickBooks
  • Oversee donation letters for all fundraising conducted by the MSGA.
  • Collect, organize, and maintain receipts and invoices accurately.
  • Enter and upload invoices into accounting systems with precision.
  • Coordinate weekly check printing for the Association’s expenses.

 

General Responsibilities for Course Rating

  • Coordinate MSGA volunteer course raters
  • Prepare and maintain Course Rating records and update the Association database
  • Collaborate with internal teams to determine course rating schedules.
  • Secure and communicate suitable dates for course ratings with golf courses.

 General Maryland State Golf Association Responsibilities

  • Act as the primary responder to incoming phone calls and emails.
  • Responsible for ordering and receiving all office supplies to ensure a well-stocked and organized office environment.
  • Handle inquiries professionally and direct them to appropriate departments.
  • Assist with the MSGA Scholarship Program and MSGA Junior Grant Program by facilitating correspondence between Selection Committee and applicants.
  • Work with key stakeholders in the administration of the MSGA Annual Meeting & the MD Golf HOF Induction.
  • Assist with tasks, administrative duties, and special projects as needed
